Introduction to One Tree

One Tree is a leading online voucher system which allows service-based businesses to sell and manage monetary and experience gift vouchers, special offer vouchers and event tickets. This user guide focuses on the Special Offer Voucher System.

The One Tree Special Offer Voucher System enables you to sell vouchers for services or packages at a discounted rate. In this way, you can run a limited flash sale or sell specific monthly offers to be used during a fixed period at a future time.

Types of sale:

  • A percentage discount can be applied to an existing service
  • A value discount can be applied (e.g. £10 off)
  • Offer added value by including extra features
  • Buy-one-get-one-free, e.g. Four dine for the price of two

Black Friday in November is a popular time to run a limited time sale, but flash sales can be run at any time of the year. Bounce back offers or VIP packages for previous customers are also popular. Access to a special offer voucher page could also be provided as a lead magnet for newsletter sign-ups.

Customers buy the vouchers from your business via an online shop embedded in your website. You can also sell discounted vouchers manually from your venue. Vouchers are delivered by email only with the dispatch handled by One Tree. Email vouchers are sent out within 5 minutes of the order, 24 hours a day, 365 days a year.

Offer vouchers are tracked and managed in the One Tree management portal.

To log into the portal, you can either visit our website at one-tree.net (click on Login) or via https://admin.one-tree.net. Click on the Special Offers account on the next page. Within the system, you can toggle between your Gift Voucher System and Special Offers System by clicking on the down arrow in the top right-hand corner of the screen.

As a Front Desk User you can:

  • Search for vouchers sold
  • Redeem a voucher
  • Re-send email vouchers and order confirmations
  • Extend a voucher
  • Cancel a voucher
  • Sell vouchers in house

Codes used in the system

Each voucher displays a unique 16-character code for security purposes. This is a mix of letters and numbers. The letters used are A-E.  

Other useful reference codes:

Order ID – a six-digit code sent in the subject line of the email order confirmation, sent to the purchaser.

Voucher ID – a six-digit code which appears on the bottom right-hand corner of each voucher.

Voucher status

A voucher can be:

Paid

Waiting to be sent out. This will only be visible in the short time (up to five minutes) before dispatch of the voucher.

Dispatched

These vouchers have been sent out to the purchaser and are valid for use.

Redeemed

The voucher has been presented, the code verified as valid and marked as redeemed in One Tree (used). These vouchers also show as Invalid.

Expired

The expiry date has passed, and the code is no longer valid. Your company policy may permit expired vouchers to be redeemed. Please ensure that staff are aware of how to handle requests to use expired vouchers. The system allows expired vouchers to be redeemed if required.

Cancelled

Vouchers may be cancelled if an error was made during manual issue, or they may have been sold, then cancelled and refunded. Vouchers showing a cancelled status should not be accepted and cannot be redeemed.
